As part of our commitment to protect, safeguard, and support the welfare of all our juniors, it is essential that the information below is completed.

This is required to meet SafeGolf standards as part of our accreditation with England Golf.

Junior Profile and Parental Consent Forms

The safety and welfare of all juniors in our care is our highest priority. To support this, we ask parents and guardians to provide details of any medical conditions, illnesses, or relevant health information so each junior’s needs can be properly supported.

In accordance with the Data Protection Act 2018, UK GDPR, and all relevant data protection legislation, all personal information will be kept accurate, secure, and up to date. Information will be used solely for the purpose of supporting junior participation at Virtually Golf and will not be retained once a junior is no longer involved with the organisation. Information will only be shared where appropriate with relevant Virtually Golf staff, coaches and, where required, with authorised officers of England Golf.

Parents/guardians and juniors are responsible for informing the Junior Organiser Stacey or/and the venue manager of any changes to these details.

Disability

The Equality Act 2010 defines a disabled person as ‘anyone with a physical or mental impairment, which has a substantial and long term adverse effect on his or her ability to carry out normal day to day activities’.

Photography Consent

Photographs or video images of children will not be taken or used without parental consent.

Where consent is given, images may be used solely to promote and celebrate Virtually Golf activities, in line with our safeguarding policies. Images may appear on the Virtually Golf website or social media channels.

Parents or guardians may request the removal of any images at any time by notifying Virtually Golf, after which the content will be removed promptly.

Code of Conduct for Young Golfers

As a junior taking part in activities at Virtually Golf, you are expected to:

  • Be respectful, kind, and treat others fairly.
  • Listen to coaches and follow instructions.
  • Play safely and look out for yourself and others.
  • Arrive on time and let a coach know when you are leaving.
  • Speak to the coach or staff member if you feel unsafe or unhappy.
  • Juniors must not take part in inappropriate or unsafe behaviour, including: Bullying, harassment, abusive language, smoking, alcohol, or illegal substances.

These guidelines are in place to ensure a safe, fun, and welcoming environment for everyone.

Code of Conduct for Parents & Carers

At Virtually Golf, parents and carers are expected to:

  • Encourage and support their child in a positive, pressure-free way.
  • Promote participation for enjoyment, confidence, and development.
  • Ensure forms and consents are completed and kept up to date.
  • Inform Virtually Golf of any changes affecting their child’s wellbeing.
  • Deliver and collect children on time for sessions.
  • Ensure appropriate clothing, equipment, food, and drink.
  • Support and respect coaches, staff, and officials.

Parents and carers have the right to:

  • Know their child is safeguarded at all times.
  • Be informed of any concerns or injuries.
  • Be consulted on matters such as photography and activities.
  • Raise welfare concerns and have them addressed appropriately.

Any breaches of this code of conduct will be addressed by Virtually Golf. Continued or serious breaches may result in parents being asked not to attend sessions, or in exceptional circumstances, a child being withdrawn from activities in the interests of safeguarding.
